Flighter Group LLC (“Flighter Group,” “we,” “us,” or “our”) provides automated compliance solutions for FAA- and FMCSA-regulated drug and alcohol programs, including onboarding portals, workflow automation, document collection, reporting, notifications, and related administrative tools (collectively, the “Services”).

This Privacy Policy (“Privacy Policy” or “Policy”) explains how we collect, use, disclose, and safeguard personal information when you use our website, web-based software platform, customer portals, communications, and related Services.

By accessing or using the Services, you agree to the practices described in this Privacy Policy.

This Privacy Policy does not apply to third-party websites, systems, or services that may be linked from our platform.

Revisions to This Privacy Policy

Any information we collect is governed by the Privacy Policy in effect at the time of collection. Flighter Group may update this Privacy Policy periodically. If we make material changes, we will notify you by posting the updated Policy within the Services or by sending an email or other notice. The “Last Updated” date will always reflect the most recent version.

Scope of This Privacy Policy

This Privacy Policy applies to all users of our Services, including:

  • Designated Employer Representatives (DERs), Human Resources professionals, or Safety Partners
  • Employers and administrators (“Customers”)
  • Applicants, candidates, and employees whose information is processed through the Services
  • Service providers interacting with our system
  • Visitors to our website and portals

All such individuals are collectively referred to as “Users.”

For clarity, Flighter Group provides Services to business customers (“Customers”), such as employers, DERs, HR teams, and Safety Partners. In many cases, Personal Data about Users is provided to Flighter Group by a Customer rather than directly by the User.

Information We Collect

We collect personal information (“Personal Data”) that directly or indirectly identifies an individual or is reasonably capable of being associated with an individual.

1. Information We Collect That You Provide Directly

We collect Personal Data that you provide directly when you interact with the Services, including when you create an account, complete onboarding steps, upload documents, or communicate with us.

A. Account & Profile Information

If you are an account holder or authorized user (such as a DER, HR user, or Safety Partner), we may collect:

  • Name
  • Email address
  • Phone number
  • Work title or role
  • Employer name
  • User photo (optional)
  • Credentials required for regulatory purposes (e.g., DER designation)

B. Candidate & Employee Onboarding Information

If you are a candidate or employee using an onboarding portal, you may provide information required for regulated compliance, including:

  • Date of Birth
  • Social Security Number
  • Government-issued identification
  • CDL, pilot certificate, medical certificate, or safety-sensitive role classification
  • Pre-employment testing acknowledgments
  • Employment authorization documents
  • Other information required to satisfy FAA or FMCSA requirements

C. Document Uploads

You may upload documents required for regulated compliance, such as:

  • Pre-employment drug test forms
  • Consent forms
  • Background check authorizations
  • Certificates, licenses, or training records
  • Chain-of-custody forms
  • Test results provided by the employer, a third party or MRO

D. Communications

We collect information you voluntarily submit when you:

  • Contact support
  • Submit questions
  • Respond to surveys or feedback requests
  • Communicate with your DER or employer within the system

E. Job Applications to Flighter Group

If you apply for employment with Flighter Group, we may collect:

  • Resume or CV
  • Professional history
  • Interview notes
  • Any information you submit as part of the hiring process, including contact and address information

2. Information We Collect That Our Customers Provide About You

Flighter Group provides Services to Customers who may input, upload, or otherwise provide Personal Data about Users (“Customer-Provided Data”). In these cases, Flighter Group processes such Personal Data as a service provider on behalf of the Customer, subject to applicable agreements and laws.

A. Account Setup and Administration

Customers may provide:

  • Name
  • Email address
  • Phone number
  • Work title or role
  • Employer name
  • Role-based permissions and user settings

B. Candidate & Employee Onboarding Information

Customers may request, input, or upload information required for regulated compliance, including:

  • Date of birth
  • Social Security number
  • Government-issued identification
  • CDL, pilot certificate, medical certificate, or safety-sensitive role classification
  • Pre-employment testing acknowledgments
  • Employment authorization documents
  • Other information required to satisfy FAA or FMCSA requirements

Select information may be protected behind additional authentication controls.

C. Documents Uploaded by Customers

Customers may upload documents such as:

  • Pre-employment drug test forms
  • Consent forms
  • Background check authorizations
  • Certificates, licenses, or training records
  • Chain-of-custody forms
  • Test results provided by an employer, third party, or MRO

D. Administrative Communications and Notes

Customers may provide:

  • Workflow notes
  • Status updates
  • Administrative communications related to compliance tasks

3. Information Collected Automatically

Device Information

We collect information sent by your device, including:

  • IP address
  • Browser type
  • Device identifiers
  • Operating system
  • Language preferences
  • Access times and session information

Usage & Log Data

We collect:

  • Actions taken within the platform
  • Login activity
  • Pages viewed
  • Files uploaded or downloaded
  • Notifications sent

Location Information

We may approximate location using IP address or browser settings. Precise GPS-level location is not collected unless explicitly authorized.

4. Information from Third Parties

How We Use the Information

We use Personal Data provided directly by Users and Personal Data provided by Customers about Users for the following purposes:

Providing and Improving the Services

  • Facilitate automated compliance workflows for Customers
  • Manage onboarding and pre-hire steps on behalf of Customers
  • Support FAA/FMCSA regulatory requirements
  • Verify identity, roles, and authorization
  • Maintain logs and reporting for audit preparation
  • Facilitate document collection and storage
  • Provide customer and user support

Communications

  • Send regulatory reminders, deadlines, and notifications at the direction of Customers
  • Respond to inquiries
  • Send system updates, service announcements, and compliance-related communications

Platform Security

  • Detect and prevent fraud or misuse
  • Monitor unauthorized access
  • Maintain operational integrity

Analytics & Improvements

  • Analyze usage patterns
  • Improve system performance
  • Develop new features

Legal & Compliance

  • Enforce contracts
  • Comply with FAA, FMCSA, DOT, or other applicable laws
  • Respond to legal or regulatory requests

De-Identified Data

We may create de-identified or aggregated data for analytics, benchmarking, or product improvement.

How We Share Information

We do not sell Personal Data. We share Personal Data only as described below and primarily to provide the Services.

1. Service Providers

We share information with vendors assisting with hosting, identity verification, secure storage, payment processing, analytics, and customer support. Service providers access only what is necessary to perform their functions.

2. Employers & Authorized Administrators

Personal Data may be shared with the applicable employer, DER, or other authorized administrators designated by the Customer, as required to provide the Services and satisfy regulatory obligations.

3. Regulatory or Legal Requirements

We may disclose information to comply with laws, respond to lawful requests, or protect safety, rights, or property.

4. Business Transfers

Information may be transferred in connection with a merger, acquisition, or asset sale.

5. With Your Consent

We may share information if you specifically request or consent to such sharing.

Your Privacy Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or receive your Personal Data. Where Flighter Group processes Personal Data on behalf of a Customer, we may direct you to that Customer to exercise certain rights.

Your Choices

Email Preferences

You may opt out of marketing emails. Operational and regulatory communications cannot be opted out of.

Cookies

You may block or delete cookies through your browser, though some features may not function properly.

Account Information

Requests to modify or delete information may be subject to legal and regulatory requirements and, where applicable, Customer authorization.

Telephone or SMS Communications

We do not share phone numbers for third-party marketing. We may share phone numbers with Service Providers assisting with communications, subject to consent and applicable law.

Data Security

We use industry-standard safeguards including encryption, access controls, secure hosting, and monitoring. No method of transmission or storage is completely secure.

Data Retention

We retain Personal Data as long as necessary to provide the Services, comply with FAA/FMCSA/DOT requirements, and satisfy legal obligations. Data is securely deleted or anonymized when no longer required.

Children's Privacy

Our Services are not directed to children under 16. We do not knowingly collect Personal Data from children under 16.

California Privacy Rights (CCPA/CPRA)

California residents may have additional rights, including access, correction, deletion, opt-out of sale or sharing (Flighter Group does not sell Personal Data), and non-discrimination. Requests may require verification.

Nevada Resident Rights

We do not sell Personal Data as defined under Nevada law.

Processing Information in the United States

Flighter Group is headquartered in the United States. Your data may be processed or stored in the U.S. or other jurisdictions where service providers operate.
